FEATURE – Display Lot Location Information on the Public UI, Admin UI & Bidder Invoices

We've introduced a new feature that makes it easier for both auction houses and bidders to view the location of a particular lot without manually adding that information to the lot description.

This update allows lot location information to be stored in dedicated fields within the system and displayed throughout the auction process.

Public UI

When the Lot Location fields are populated, bidders will be able to view the City and State/Region for each lot on the public website:

  • Before bidding opens

  • While the auction is open (for both timed and webcast based auctions)

  • After the auction has closed

This gives bidders a better understanding of where an item is located before placing a bid.


Adding Lot Location Information

Lot location information can be added in two ways:

  • Individually, on each lot
  • Through the Bulk Import Template

Option 1: Add Location Information to an Individual Lot

  1. Navigate to the Catalog or Accounting tab within the auction.
  2. Click the Pencil icon next to the applicable lot in the Lot Name or Lot description field.
  3. Scroll below the Lot Description section.

You will now see the following optional fields:

  • Location Street Address
  • Location Country
  • Location State / Region
  • Location City / Town
  • Location ZIP / Postal Code
  • Location Details

All fields are optional.

Important: If either Location State/Region or Location City/Town is entered, that information will automatically display on the public website.


Option 2: Import Location Information in Bulk

If you're importing lots using the Bulk Import Template, you'll notice the following new columns:

  • Location Street Address
  • Location Country
  • Location State / Region
  • Location City / Town
  • Location ZIP / Postal Code
  • Location Details

This allows you to populate location information for multiple lots at once.

What is "Location Details"?

The Location Details field is designed for additional pickup instructions or location-specific information that doesn't fit within a standard address.

Examples include:

  • "Located in the locked storage yard behind Building B."
  • "Pickup entrance is off Maple Street."
  • "Gate code required for access."
  • "Stored in the red barn."

This field is especially useful when a lot does not have a traditional street address or requires special instructions.


Viewing Lot Location in the Admin UI

After location information has been entered, you no longer need to open each lot individually to view it.

Within both the Catalog and Accounting tabs, you'll now see a Map/Directions icon on the far-right side of each lot.

Simply hover over the icon to quickly view the lot's location information.

Displaying Lot Location on Bidder Invoices

If you would like lot location information to appear on bidder invoices, there is one additional setting that must be configured.

Navigate to:

Invoice: Default Strategy to Disclose Seller Contact Info to the Bidder

You will have three options:

1. No Disclosure

No seller information or lot location information will appear on the bidder's invoice.

2. Lot Location

Only the following information will appear on the paid bidder invoice within the Lot Name column:

  • Lot Location (location street address, location city/town, location state/region and location Zip)
  • Location Details

Seller contact information will remain hidden.

3. Seller Contact and Lot Location

The paid bidder invoice will display:

  • Seller Contact Information
  • Lot Location
  • Location Details

All of this information will appear within the Description column.

Important

Lot location information only appears after the bidder has paid their invoice.

Unpaid invoices will not display this information.


Where Can This Setting Be Configured?

This disclosure setting can be configured in two locations:

  • Auction-Wide Settings (applies to all future auctions)
  • Auction-Specific Settings within the Accounting tab (applies only to that auction)

This gives auction houses flexibility to choose the disclosure method on a per-auction basis if needed.

Best Practices

Some auction companies prefer to display the full Lot Description on bidder invoices. While this is fully supported, keep in mind that enabling both:

  • Show Lot Description, and
  • Seller Contact and Lot Location

can significantly increase the amount of text on each invoice, potentially causing invoices to span multiple pages.

For larger auctions, consider whether all of this information is necessary to keep invoices clean and easy to read.

Space Optimization

Our system is designed to display only the information that exists.

For example, if you choose to display Lot Location information but a particular lot does not have any location fields completed:

  • The invoice will not display blank labels such as "Lot Location:" or "Location Details:"
  • Those sections are automatically omitted.

This keeps invoices clean and eliminates unnecessary blank text while only displaying relevant information to bidders. See below where lot # 1 and lot #2 show the information, but lots 3 and 7 do not show the fields because they were left blank.
