FEATURE – Export Pending Bidder Invites from NextLot HQ

NextLot already allows users to bulk import bidder information and send invitations for bidders to create accounts on a specific site. After invitations have been sent, the system tracks which bidders have accepted their invitation and created an account, as well as which bidders have not yet acted on the invitation.

To enhance this workflow, NextLot now provides the ability to export a list of bidders who have not accepted their invitation directly from the HQ area. This export can then be imported into HubSpot or another email marketing platform, allowing you to send follow-up campaigns and re-engage bidders who did not respond to the initial invitation.

By exporting this data, auction companies can more effectively market to potential bidders and increase account creation and bidder participation.

How to Export Pending Bidder Invites

  1. Navigate to NextLot HQ.
  2. From the Bidders menu at the top of the screen, select Bulk Import/Invite.

3. Search for the client whose bidder invitations you previously sent.

4. Once selected, you will see a statistics bar displaying:
    • Total Invitations Sent
    • Pending Invitations (bidders who have not accepted)
    • Accepted Invitations
    • Acceptance Rate
    5. To export the list of bidders who have not accepted their invitation, click the Export button in the upper-right corner of the screen.

  2. 6.The system will generate a spreadsheet containing the pending bidder information.

This spreadsheet can then be uploaded into HubSpot or another marketing platform to send follow-up email campaigns, re-invite bidders, and encourage account creation and participation in future auctions.

The spreadsheet will contain all the bidder unique contact information. The final column of this spreadsheet is a unique bidder invite URL that is a tokenized URL that when executed, will allow that bidder to set up their password for their bidder account. This particular data point has been added to Hubspot as a data point and can be used to allow you to create a button in the email to send to the bidder prompting them to complete the registration for their account.

FEATURE UPDATE – Bidder Login & Registration Header Language

To provide a clearer and more intuitive experience for bidders, the Register/Login page has been updated with new header text and instructional language. This also includes clicking on Register to bid when attempting to register or login for an auction.

Previously, bidders could become confused about whether they needed to log in or create a new account before entering their email address. The updated language helps guide bidders through the process more clearly.

You'll notice that the "Log In to Your Bidder Account" option now makes it much clearer for returning bidders. If a bidder already has an account, they simply enter their email address to sign in. If they don't have an account, they'll see the "Don't Have an Account?" section at the bottom of the window with the option to Create an Account.

One of the biggest improvements with this update is that the system now guides bidders to the correct action automatically. For example, if a new bidder enters their email address in the Log In section but doesn't have an account, the system will prompt them to create an account instead. Likewise, if a bidder attempts to create a new account using an email address that already exists, the system will direct them to log in instead.

This makes the registration process much more intuitive and virtually eliminates user error. See the video below for a demonstration.
