### \*Internal\* System Release Notes September 2nd, 2026

### FEATURE – Seller Internal Notes Added to Sellers Export

To help improve **client workflows and information tracking**, the **Seller Internal Note** column has been added to the master Sellers Export.

When exporting sellers from a client's **Master Sellers** tab, the Excel file will now include any Internal Notes associated with each seller. These notes work similarly to notes on a bidder profile and can be used to keep track of important seller-specific information.

For example, if a particular seller should **always have a specific labor fee added to their Seller Settlement**, that information can be documented in the seller's Internal Note. As shown in the examples above, the note will then appear in the export for easy reference.

### How to Export Seller Internal Notes

Navigate to **Master Sellers → Green Export Button**.

The downloaded Excel file will include the sellers and their applicable information, along with the new **Internal Note** column.

### FEATURE – Add Seller Internal Notes to Seller Bulk Import

To help improve **client workflows and information tracking**, a new **Internal Note** column has been added to the **Seller Bulk Import** template.

When importing sellers, clients may already have important notes they want associated with each seller. For example, a seller may **always need a $500 hauling fee added to their Seller Settlement**. Previously, the client would need to import the seller and then manually add the note to the seller's profile. Now, the **Internal Note can be included directly in the initial bulk import**, saving time and ensuring important seller information carries over.

### How to Import Seller Internal Notes

1. Navigate to the **Master Sellers** tab.
2. Click the **gray Import icon**.

![Screenshot 2026-09-02 at 10.53.02 AM (2)](https://devops.nextlot.com/hs-fs/hubfs/Screenshot%202026-09-02%20at%2010.53.02%20AM%20(2).png?width=1894&height=262&name=Screenshot%202026-09-02%20at%2010.53.02%20AM%20(2).png)

3. Select an applicable auction. The auction selected does not matter unless you are also importing **seller balances**, as the system needs an auction to create the applicable settlements for those balances.

4. Click the **blue Import File** button.

![Screenshot 2026-09-02 at 10.55.13 AM (2)](https://devops.nextlot.com/hs-fs/hubfs/Screenshot%202026-09-02%20at%2010.55.13%20AM%20(2).png?width=1868&height=289&name=Screenshot%202026-09-02%20at%2010.55.13%20AM%20(2).png)

5. From here, you can either:

- Download the latest seller import template, add the seller information and Internal Notes, and upload the completed file.
- Upload a seller import template you already have saved.

6. Enter the applicable information in the new **Internal Note** column for any sellers who need a note added to their profile.

Once imported, the note will be associated with the seller and available for future reference without needing to manually add it after the import.

### FEATURE – Void CardPointe Transactions on Paid Bidder Invoices

Admins now have the ability to **void a CardPointe transaction from a paid bidder invoice**. The process works the same way as voiding other payment types, such as a cash payment.

To void a CardPointe transaction, navigate to the applicable bidder invoice, scroll down to the **Payments section**, locate the CardPointe transaction, and click **Void**.

![Screenshot 2026-08-27 at 3.44.40 PM](https://devops.nextlot.com/hs-fs/hubfs/Screenshot%202026-08-27%20at%203.44.40%20PM.png?width=2966&height=1245&name=Screenshot%202026-08-27%20at%203.44.40%20PM.png)

**Important:** Voiding the transaction within NextLot **does not process an actual refund through CardPointe**. If the bidder needs to be refunded, the refund must still be processed separately within the **CardPointe system**.

The original CardPointe transaction will also **remain visible in the Admin UI after it has been voided**. This is intentional because the transaction originally occurred in CardPointe and should remain part of the payment history. Keeping the transaction visible also provides admins with a record of the original transaction information in case they need to locate or reference it within CardPointe later.

### FEATURE – Bulk Payment of Bidder Invoices Within Bidder Profile

For clients using **CardPointe payments and ACH**, bidders will have the ability to select **multiple unpaid invoices within their bidder profile** and process them together using checkboxes.

![Screenshot 2026-08-29 at 7.37.05 AM](https://devops.nextlot.com/hs-fs/hubfs/Screenshot%202026-08-29%20at%207.37.05%20AM.png?width=2941&height=754&name=Screenshot%202026-08-29%20at%207.37.05%20AM.png)

![Screenshot 2026-08-28 at 1.13.01 PM](https://devops.nextlot.com/hs-fs/hubfs/Screenshot%202026-08-28%20at%201.13.01%20PM.png?width=2955&height=1260&name=Screenshot%202026-08-28%20at%201.13.01%20PM.png)

![Screenshot 2026-08-28 at 1.13.11 PM](https://devops.nextlot.com/hs-fs/hubfs/Screenshot%202026-08-28%20at%201.13.11%20PM.png?width=2820&height=979&name=Screenshot%202026-08-28%20at%201.13.11%20PM.png)

When invoices are selected, the system will evaluate the **total bulk payment amount** against the applicable payment limits. If the combined total exceeds the allowed limit for a specific payment method, that **payment option will no longer be available for selection**.

As shown in the example above, if the bidder selects **both invoices**, the combined total exceeds the **credit card payment limit** but is still within the **ACH payment limit**. Because of this, the credit card option is unavailable, but the bidder can still pay both invoices together using **ACH**.

However, if the bidder selects only **Invoice #1068-0188**, the invoice total falls within the credit card payment limit, so the bidder would have the option to **pay by credit card**.

![Screenshot 2026-08-28 at 1.13.23 PM](https://devops.nextlot.com/hs-fs/hubfs/Screenshot%202026-08-28%20at%201.13.23%20PM.png?width=2894&height=981&name=Screenshot%202026-08-28%20at%201.13.23%20PM.png)

**ACH and credit card payment limits** can be found and managed within the site-wide settings. Navigate to **Site-Wide Settings → Auctions → Accounting**, then scroll down to view the current ACH and credit card limits.

These limits can be **adjusted as needed** based on the auction company’s payment requirements.
