FEATURE – Onsite Bidder Check-in using drivers license scanner

NextLot now offers the ability to check in bidders onsite using a portable ID scanner. Currently this only works for webcast based auctions when checking in bidders.

To begin checking in bidders, go to the webcast auction and click on the bidders tab. In the bidders tab, there will be a blue icon with a picture of a drivers license.

Once you click on it, you will be presented with the ID Card scan. As shown in the image, you want to make sure you scan the larger barcode section to actually pull the license data (some ID cards will have multiple barcodes on the back, so its best to cover the other barcode with you finger when trying to scan it).

Once you scan the ID, a bunch of data will begin to populate in the bottom of the screen. This is the bidder's name and mailing address data getting pulled from the license. This process takes a few seconds.

If the scanner does not pickup the data from the barcode while scanning, the following error code will appear:

If this happens, we suggest to try to refocus and try again and ensure the correct barcode on the ID is being scanned. 

Upon completion of the scanning process, you will be brought back to the auction bidders list and the search criteria that were brought over from the card will be shown at the top of the search listings (in the blue header). This includes the bidders last name, first name, middle name, street address, city, state and postal code.

However, if the bidder may already exist in the system, you’ll see possible matches listed in the “Other Matching Bidders” section. These matches are generated using an algorithm that looks at combinations of the bidder’s last name, first initial, and postal code.

Keep in mind that some bidders may be registered under their full legal name rather than a nickname (e.g., Richard instead of Dick, William instead of Bill, Robert instead of Bob, Anthony instead of Tony, Gabrielle instead of Gabi). When registering a new bidder, it’s best to use their official name for accuracy.

If you find that the bidder already exists, simply select Check In, assign a paddle number, and approve them for online bidding if needed. Before completing the process, confirm their phone number is still correct, then click the green Check In button to finish registering them for the auction.

Once a bidder has been checked in, you will see them under the auction bidder's area.

If you attempt to check in a bidder who does NOT exist for a particular site, you will see there are no bidders found associated with this auction, no other matching bidders found and you are given an option to register a new bidder with the ID card pre-filled data

Once you click on the green button to register the new bidder, you will see that the first name, last name, street address, city, state, postal code and country are all prefilled from the information on the ID (red arrow items below). You as the registration admin will then have to go in and add the bidder's phone #, email (if they want to provide an email) and a company name if needed (blue box item).

Once you have all of the data as you want it, click register to sign up the bidder and then you can check them into the auction

Important notes about the ID scanner process: 

NextLot does not STORE any of the other information processed from an ID card. We only scan and pull the following data points:

First name

Middle Name (or initial if the ID only provides an initial)

Last Name

Street Address

City

State

Postal Code

Country

We do not capture birth dates, expiration dates, ID numbers and other data points. 

If you are purchasing a new scanner, NextLot recommends the Zebra scanner linked below. Keep in mind that while there are other scanners available on the market, NextLot has only worked to configure this model of Zebra scanner to work with its system, so if you purchase a different one, it will NOT work with the NextLot system.

If you purchase this Zebra scanner, once you hook it up to your computer, you need to print off the linked below configuration barcode. Scan that QR code with the barcode scanner and the scanner will be ready to use with the NextLot platform.

It is our understanding that some customers may already have a scanner that they purchased when using another onsite clerking solution. As a result, we have provided the link and configuration for the scanner that you most likely have in order for it to be configured to work with NextLot's platform.

If you have this Honeywell scanner, once you hook it up to your computer, you need to print off the linked below configuration barcode. Scan that QR code with the barcode scanner and the scanner will be ready to use with the NextLot platform.

FEATURE – Add Lot Modal Retains Data and Displays Errors

When multiple team members are cataloging lots at the same time, there was previously an issue where work could be lost. For example, if one employee was creating Lot #1 while another had already created it, the system would return an error, and all entered information would be cleared from the form.

Now, this has been improved. If a duplicate lot number is submitted, a red error message will appear directly within the Add Lot form stating “Number has already been taken.”

All previously entered information will remain in place, allowing you to simply update the lot number without having to re-enter the rest of the details.
