Internal System Release Notes December 19th
*Internal* System Release Notes December 19th, 2025
Marking Lots as Payment Restricted Individually Update
To mark an item as Payment Restricted individually, navigate to either the Catalog or Accounting UI. Click the credit card icon on the far-right side of the lot row, then select “Online Payment Restriction.” After that, click the green Save button.
Once saved, you can confirm the restriction was applied successfully by looking at the far-right column—if the lot is payment restricted, the credit card icon will be replaced with a blue lock icon.

Invoice Refund Template
Within the Accounting tab of both Site-Wide Settings and Auction Settings, there is now an Invoice Refund Template available.
When a refund is issued to a bidder and the refund invoice is emailed, the bidder will receive the auction refund statement, along with the Invoice Refund Template content included in the email. This template can be customized based on your preferences.
Please see the example below.

Adding a Single Lot Within the Catalog UI Update
When adding a single lot within the Catalog UI, the system will automatically scroll to the newly added lot. For example, if you are currently viewing lots 5–10 and add lot 18A, the page will jump to the newly added 18A Lot. The new lot will briefly flash yellow to show where it was added and allow you to easily see which lot was recently added in the listing.
This update also applies when you are at the end of the catalog—any newly added single lot will still flash yellow to notify you that it has been added and to show its location within the catalog.
To ensure invoices display the most accurate information, all monetary components now update in real time whenever changes are made, both within an individual invoice and on the invoices landing page for a particular auction.

When you are working within an invoice at the same time as another admin, all MONETARY updates will occur in real time without requiring a page refresh. This includes changes to winning bids made in the Clerking Grid, items removed from an invoice (such as when a lot is marked as No Sale), adjustments to sales tax and buyer’s premium tax, updates to the buyer’s premium amount, and all invoice totals reflecting those changes.
In the video below, you’ll see another admin editing the buyer’s premium amount, and the update appears on the invoice in real time.
If a payment is applied to an invoice, the totals will update automatically. However, you will see a red “Refresh the page” notification in the top-right corner of the invoice. This indicates that you need to refresh the page only to view the payment details (such as payment type, cash or card, and the time of payment). You do not need to refresh the page to see the updated totals.

Please note that the Bidder Accounting Overview also updates in real time—for example, when a payment is applied, the balance due will automatically update.
The Invoices landing page also updates in real time, including fields for total amount, balance, payment status, and email sent. Please see the example below showing how the invoice landing page for a specific auction updates live when another admin marks an outstanding invoice as paid in full. You will be able to see the status change and confirmation that an email has been sent to the winning bidder.
To ensure invoices display the most accurate information, any updates made in the Clerking Grid, even while multiple admins are working in the Clerking Grid or invoices, will update in real time without requiring a page refresh. The components that update automatically include lot sold status, winning bid amount, winning bidder, and seller.
Please note that all updates made here will also reflect in real time on both seller settlements and bidder invoices. For example, if an admin adjusts the selling price of a lot after it has closed due to damage or missing parts, or assigns a lot that originally did not sell during the auction but is later sold to a bidder, those changes will be updated immediately.
Please see in the video below the following examples of live time updates:
-
Updating the selling price of Lot #2 from $35,000 to $50,000.
-
Changing Lot #3 from Sold to No Sale.
-
Assigning Lot #7, which did not sell during the auction, to a bidder for $50 after the auction has ended.

Now, when assigning links to a lot, a "Recently used links"section appears after clicking the blue Edit button in the Linking column. This update makes it much easier to link lots together when working with a large number of items. Instead of scrolling to find a previously used link, you can simply select it from the "Recently used links" list. The most recently used link will always appear at the top, making navigation and selection faster and more intuitive. The modal itself is also larger in size making it easier for users to utilize the linking lots function.

Previously, when a Lot Name search filter was applied in the admin UI, the Alt Sort field could not be edited. Other modal fields, such as Seller and Category, remained editable, so it was important for Alt Sort to function the same way when a search filter is active. This functionality is especially important for clients who want to organize their catalog by item type or brand.
For example, if an auction house wants all Case tractors to appear at the front of the catalog during the preview period, this can be done by following these steps:
-
Search for “case” in the Lot Name search.
-
Assign those lots an Alt Sort value of 1 while the search is applied.
-
Set the catalog display order to Alt Sort, which will move all tractor lots to the front.
Please note: When assigning Alt Sort numbers to lots, you must press the Enter or Return key on your keyboard or device for the value to be applied.
This update makes it much easier to group similar items, such as tractors or trailers, directly within the UI. Admins can simply search for the item type, assign Alt Sort values (for example, using 1 or 200 to move a group ahead), and immediately reorganize the catalog.
Overall, this provides a faster and more intuitive way to organize and shuffle lots compared to downloading a spreadsheet and manually editing the Alt Sort column in Excel. All of this can now be done directly in the UI, whether organizing by Alt Sort or Lot Number, even while a search filter is applied.
Please see the video below for an example.
